1. About these terms
These Terms & Conditions govern use of the IRVISIT website, trip enquiries and travel services arranged by IRVISIT. By using the website or confirming a booking, you agree to the version in effect at that time. If you book for other travellers, you confirm that you are authorised to accept the applicable terms on their behalf and will share all relevant information with them.
2. Enquiries, proposals and booking confirmation
An enquiry, sample itinerary or quotation is not a confirmed booking. A booking becomes binding only when we issue written confirmation and any required deposit or payment has cleared. Availability and prices can change until confirmation. The final proposal will identify the itinerary, inclusions, exclusions, payment schedule and any trip-specific cancellation terms.
3. Prices and payment
Prices are based on the services, dates, group size and exchange assumptions stated in your proposal. Unless expressly included, international flights, visas, insurance, personal expenses, tips and optional activities are excluded. You are responsible for bank, card, currency-conversion and transfer charges. If taxes, government fees, exchange rates or supplier costs change before full payment, we may revise the price where permitted and will explain the reason before you accept the change.
4. Your responsibilities
- Provide accurate names, contact details, travel documents and relevant needs by the requested deadlines.
- Check passport validity, visa, entry, health and customs requirements for every traveller.
- Obtain comprehensive travel insurance suitable for the itinerary, including medical care, evacuation, cancellation and personal belongings.
- Follow local law, safety instructions and the reasonable directions of guides and suppliers.
- Tell us promptly about mobility, dietary, medical or other requirements that may affect safe delivery of the trip.
Entry decisions remain with the relevant authorities. IRVISIT cannot guarantee a visa or admission to any country or site.
5. Changes requested by you
We will try to accommodate requested changes, subject to availability. Supplier charges, price differences and a reasonable administration cost may apply. A transfer to another traveller is permitted only where suppliers and applicable rules allow it.
6. Cancellation by you
Cancellation must be sent in writing. The date we receive it determines any cancellation charge. Because many travel services are prepaid or non-refundable, charges may increase as departure approaches. The cancellation schedule in your confirmed proposal applies. We strongly recommend insurance that covers cancellation for appropriate insured reasons.
7. Changes or cancellation by us
Travel arrangements can be affected by weather, access restrictions, supplier changes, safety concerns, government action and events beyond reasonable control. We may make a comparable change where necessary and will notify you as soon as practical. If we cancel a material part of the trip before departure for a reason within our control, available remedies will be explained, taking account of recoverable supplier payments and applicable law.
8. Force majeure
We are not responsible for delay, change or failure caused by events outside our reasonable control, including natural disaster, epidemic, conflict, civil unrest, sanctions, border closure, government action, transport disruption, extreme weather, cyber incident or utility failure. We will provide reasonable assistance, but additional costs and non-refundable supplier charges may remain your responsibility unless applicable law requires otherwise.
9. Third-party travel services
Hotels, carriers, guides, venues and other independent suppliers provide components of your trip under their own operational terms. We select and coordinate suppliers with reasonable care, but do not control every act or omission of an independent provider. Nothing in these terms excludes responsibility that cannot lawfully be excluded.
10. Conduct and complaints
We may end a traveller’s participation where their conduct creates a safety risk, seriously disrupts others, damages property or violates law. No refund is due for unused services in those circumstances. If a problem arises, tell your guide or our support contact promptly so there is a fair opportunity to resolve it. If it remains unresolved, send a written summary with relevant evidence as soon as reasonably possible after the trip.
11. Website use, comments and intellectual property
Website material is provided for general information and may change. You may not misuse the site, attempt unauthorised access, introduce harmful code, scrape it at unreasonable volume, or publish unlawful, abusive or infringing comments. Unless otherwise stated, IRVISIT or its licensors own the site design, copy and media. Limited personal, non-commercial viewing is allowed; other reuse requires written permission.
12. Privacy
We process personal information as described in our Privacy Policy. Booking a trip may require selected information to be shared with travel suppliers to deliver the requested services.
13. Liability
To the fullest extent permitted by law, we are not liable for indirect or consequential loss, loss of enjoyment, loss caused by information you failed to provide, or loss covered by an insurer. Any limit or exclusion is subject to mandatory consumer and travel law. Nothing excludes liability for fraud, wilful misconduct, death or personal injury caused by negligence where exclusion is prohibited.
14. Governing law and contact
These terms are governed by the laws applicable to IRVISIT’s place of establishment, without depriving consumers of mandatory protections available in their country of residence. The parties will first try to resolve a dispute in good faith. Questions can be sent to info@irvisit.com.
